JOB SUMMARY

 

The incumbent will be responsible for the supervision of the financial accounting staff by co-coordinating and directing their activities, with the objective of maintaining the accounting and financial records and preparing financial statements and other reports for the Subsidiary Companies, Collective Investment Schemes (CIS), Pension Plans and other Funds for which a subsidiary within the First Citizens Group has fiduciary responsibilities. He/She will be required to perform these duties in an accurate and timely manner for audit and to meet the needs of all stakeholders (Statutory bodies, Company Board, Trustees, Pension Plan Management Committees and Management.

 

 KEY DUTIES AND RESPONSIBILITIES

 

  • Supervises staff while ensuring their on the job training, assignment/project scheduling, periodic performance appraisal including coaching, mentoring, monitoring and initiating corrective action where necessary, to aid in the development of staff, as well as conducts periodic team meetings
  • Coordinates the daily workflows of the unit
  • Performs first review of annual financial statements for submission to external auditors, with particular emphasis on the accuracy of the four (4) primary statements and associated note disclosures, ensuring that these are prepared in accordance with Company rules and regulations, professional standards, all regulatory requirements and International Financial Reporting Standards (IFRS)
  • Facilitates the external audit process by:
    • liaising with external auditors, primarily regarding the coordination of audit samples,
    • liaising with other parties (FC Branches, other banks, paying agents) necessary for completion of audits
  • Ensures that periodic management accounts and accompanying analyses, schedules, and notes are prepared in a timely and accurate manner, in accordance with all Company rules and regulations for submission to management for approval
  • Supervises/ performs analyses of the accounting records to assist management in ensuring that all ledgers are maintained in an accurate manner compliant with regulatory and statutory requirements and the department's policies and procedures
  • Produces key data for KPIs to assist Senior Management in assessing and monitoring performance
  • Approves daily journal entries and monthly bank reconciliations, sub ledger to general ledger reconciliations and other supporting schedules to the financial statements and follows-up on issues arising from these schedules
  • Ensures that all statutory reports are prepared in an accurate and timely manner for reporting to statutory bodies for example the CBTT, TTSEC and BIR and statutory payments are made on time and in compliance with rules and regulations
  • Reviews procedures and work flows applicable to the Financial Accounting Department at least annually and make recommendations for improvements                         
  • Reviews fees structures for billing to clients and ensures timeliness and accuracy of billings
  • Ensures that all invoices are paid in a timely and accurate manner
  • Performs the role of an authorized "B" Signatory
  • Engages in marketing of the Group's products and services
  • Responds to customers' requests, enquiries, incoming and outgoing calls, both local and foreign, in a courteous and timely manner consistent with operating standards and escalation to Manager where necessary
  • Completes special projects and other delegated activities as assigned by the Manager

 

QUALIFICATIONS AND EXPERIENCE

 

  • Candidates must possess an Accounting/Business related degree from an accredited institution OR ACCA Level II or any equivalent accounting designation
  • A minimum of two (2) years’ experience in an accounting environment with at least one (1) year experience at a Supervisory level
  • Strong supervisory, conflict resolution and team building skills
  • Strong oral and written communication, time management and presentation skills
  • Knowledge of accounting principles, laws and regulations
  • Proficiency in Microsoft Office Suite, especially MS Excel
  • Proficiency in accounting and financial software
  • Ability to use initiative, work independently and exercise sound judgment
  • Ability to read, analyze, interpret, and use complex documents and forms
  • Knowledge of the Group's Operating Software Systems, Products and Services
