JOB SUMMARY
The incumbent will be responsible for providing support to the operations of the Industrial Relations, which involves providing advice and interpretation on Human Resources Policies, Collective Agreement, Occupational Health, and other relevant Labour Legislation, handling grievances and disciplinary matters as well as monitoring leave records.
KEY DUTIES AND RESPONSIBILITIES:
- Provides guidance on the interpretation of HR Policies, Employee Handbook, Collective Agreement, Managers’ Guide and similar work rules as well as consults with Manager if necessary, as well as guides staff in the authorised channels for grievance settlement
- Researches industrial relations issues, such as court judgments, collective bargaining trends/settlements/agreements, labour legislation and similar matters and makes recommendations to the Manager
- Provides assistance with the collective bargaining process, which includes assisting in the research of data for proposals, attending negotiations, reviewing collating and preparing information/documentation for correctness, handling matters for the printing of collective agreement booklets as well as other booklets/brochures as required
- Reviews HR policies and assist in the development of such policies
- Assists in the review of the Unit's processes and makes recommendations to the Manager
- Provides information on Labour legislation and statutory regulations for the effective handling of industrial Relations and keeps abreast of new/amendments, and consults with the Manager as necessary
- Investigates complaints, grievances and Union matters to determine validity and attend to such issues which includes making recommendations for approval and effective resolution in a timely manner
- Coordinates disciplinary matters which involves assisting in reviewing investigative reports, crystallizing disciplinary charges and drafting disciplinary letters, reviewing, collating and preparing related documentation, facilitating meetings/hearings, and preparing related recommendatory reports in consultation with the Manager, while ensuring implementation and documentation of discipline and any necessary action
- Represents the Bank at conciliatory meetings, court hearings and other employee litigation matters as required, including preparing statement of case and other evidence or preparatory documentation
- Provides input as necessary to representing Attorneys in court hearings and other employee litigation matters as well as recording and preparing notes of the proceedings as required
- Liaises with Attorneys and Industrial Relations practitioners as required
- Liaises with Branches/Units/Subsidiaries personnel as required
- Provides related analytics on trade union activity, IR trends, grievances, discipline and similar activities for decision making
- Administers trade union activity and maintains a related data base of such activity
- Holds regular focus groups and similar participative and interactive sessions to seek views/feedback on key business issues and report to management
- Reviews and validates related bills/invoices for approval and transmission for payment whilst ensuring timely settlement
- Maintains an effective diary for follow up on action items for key activity areas
- Maintains an effective filing systems in relation to industrial relations matters
- Maintains the HRIS for the industrial relations related matters
- Prepares and delivers presentations for new hires and for other staff members as required
- Provides advice and assistance to occupational health-related issues
- Supports the Managers in handling industrial relations matters
- Engages in marketing of the Group’s products and services
- Responds to customers' requests, enquiries, incoming and outgoing calls, both local and foreign, in a courteous and timely manner consistent with operating standards and escalation to Supervisor/Manager where necessary
- Completes special projects and other related activities as assigned by the Manager
QUALIFICATIONS AND EXPERIENCE
- A minimum of three (3) years in Industrial Relations or a Human Resources environment particularly in a unionized environment
- A Bachelor's Degree in Industrial Relations or Human Resource Management or a related field
- Five (5) GCE O'Levels Grades A, B and C or CXC O'Leve1s (General Proficiency) Grades I, II or III of which Mathematics and English must be at Grades I or II. Not more than two (2) of the other subjects should be at a grade III level
- Strong supervisory, conflict resolution and team-building skills
- Strong oral and written communication, time management and presentation skills
- Ability to exercise a high degree of confidentiality, empathy and sound judgment
- Ability to produce reports and present statistical information
- In-depth knowledge of Collective Agreement, Human Resources Policies and Employee Handbook
- In-depth knowledge of existing Labour Legislation
